3 ways to enhance your charity event with the help of technology

Organising a charity event? Find out how to enhance your event management process with the help of technology.

Having worked with clients such as Walking with the Wounded, Oxfam and Fairy Bricks, also being Corporate Supporters of the Institute of Fundraising, Nutickets has provided support for a variety of fundraising events. We understand the complication and hard work that goes into organising them.

Technology available to an event organiser is rapidly evolving with new features and tools being introduced to enhance the customer journey and event administration. Manual processes are lengthy, now outdated and can be replaced with robust digital solutions.

81% of people now own or have access to a smartphone, according to a 2016 research carried out by Deloitte, so no wonder online shopping is increasingly popular. Event organisers have to respond to this change by allowing their customers to complete ticket purchases or event registrations online, anytime from anywhere.

If you want to reach a wider audience and improve customer experience, it’s now time to upgrade your event technology!

1. Improve customer journey & raise funds

Walking with the Wounded was looking for an event management software that integrated with their website, so that their participants would not be diverted to third party pages during the event registration process. Nutickets provided a fully branded event registration page for their annual 'Walking Home for Christmas' campaign, embedded into their website. The new event page enabled the walk “Captains” to create their own group walks within the charity’s website, which was listed on their map for others to join. Integration with Virgin Money Giving allowed the fundraising pages to link back to the challenge and leader boards enabled Captains to compete with each other.

We used Nutickets to expand our Christmas appeal ‘Walking Home for Christmas’ and add additional functionality to the campaign, while reducing internal admin. The team listened, took time to understand our events and used their event management software to help us improve our registration process, user experience and ability to maximise donations by integrating with Virgin Money Giving. Talk to them about what you need as they have the ability to be flexible in a way that the other bigger ticketing platforms aren't.” Andy Sloan, Event Manager - Walking With The Wounded

2. Upgrade your admin process

It’s essential to be organised when managing an event, and whether it’s small or large there are many aspects that could let you down. The Nutickets dashboard enables event organisers to control every aspect of an event from one central dashboard.

  • Real-time reporting puts you in control of the number of people attending your event, enabling you to adjust your staff or volunteer rota accordingly.

  • Guest lists and entry management can be easily managed with the Nutickets Entry App on the day, reducing unwanted queues.

  • Participant information can be automatically collated with data capture questions throughout the event registration or ticket sales process. Nutickets enables charities to build their own database and gives full control over their data management.

Many organisations still collate and input donor data manually or capture data through a variety of systems and third party ticketing suppliers. This process is time consuming, creates the opportunity for mistakes to happen and not all data bases communicate with each other.

Data Protection is a particularly pressing issue in the charity events sector. Oxfam’s partnership with Nutickets allowed for their data to be efficiently and effectively procured while also adhering to strict data laws. Oxfam kept full ownership and access to their donor data, providing a level of security that cannot be guaranteed with a third party service. Furthermore, Nutickets built a bespoke data export service to upload participant data from event registration to Oxfam’s own CRM system.

3. Spread the word, advertise smartly!

If you don’t shout about your event, people won’t know about it! The digital world has taken event marketing to new heights.  It allows you to reach a wider audience, segment and target them easily and advertise cost effectively.

One of our charity clients, Fairy Bricks aims is to assist children’s hospitals in the UK by providing them with free LEGO sets. Fairy Bricks was able to use effective promotional tools through the Nutickets system for their “Bricktastic” two-day LEGO events. Our central dashboard enabled the charity to promote the Bricktastic events across a wide range of platforms, including email and social media campaigns, targeting attendees of past events and converting them to returning customers. Furthermore, the platform enabled Fairy Bricks to successfully track the impact of their marketing campaigns with real-time reporting.

Due to its popularity, Bricktastic is taking place again this year, tickets are already on sale for the next event in July.
